EKO Gardening Solutions (ABN 29 987 156 401) provides gardening, landscaping and related property services in Melbourne, Victoria. In this policy, “EKO”, “we”, “us” and “our” mean EKO Gardening Solutions.

2. Personal information we collect
Depending on how you deal with us, we may collect:
- your name, phone number, email address and preferred contact method;
- the property address, suburb, postcode, access details and property type;
- project descriptions, measurements, timing, service preferences and photographs or videos you provide;
- communications, quote details, service records, invoices, payment status, feedback and complaint information;
- information supplied by an authorised property manager, family member, referrer or other representative; and
- basic technical information recorded by website hosting and security systems, such as IP address, browser, device, requested pages, time and referring page.
Please avoid sending sensitive information or photographs of people, number plates, documents or private areas unless it is genuinely necessary for the enquiry.
3. How we collect information
We usually collect information directly from you through website forms, phone calls, text messages, email, social media, site visits, quotes and service delivery. We may also receive information from a person you have authorised, a property manager, a public business listing or another source where collection is reasonably necessary for the work.
The street address is optional at the first website-enquiry stage. You may provide it during follow-up, although withholding it can limit our ability to assess access, measure visible areas or prepare an efficient quote.
4. Why we collect and use it
We use personal information to:
- respond to enquiries and communicate with you;
- assess the property, recommend a scope and prepare a quote;
- schedule, deliver, document and follow up services;
- obtain materials, arrange disposal, invoice and keep business records;
- manage safety, insurance, disputes, legal obligations and suspected misuse;
- improve our website, enquiries, services and customer experience; and
- send service reminders or marketing where permitted. You can opt out of promotional communication at any time.
If we cannot collect the details reasonably needed for a job, we may be unable to assess the enquiry, quote accurately or provide the service.
6. Overseas processing
Some technology providers process or store information outside Australia. This can include Cloudflare’s global hosting infrastructure, FormSubmit’s form and email infrastructure, and Jobber’s processing in Canada and the United States. Provider locations can change as their infrastructure changes. We take reasonable steps to use reputable providers and limit disclosure to what is needed for the relevant service.
7. Website data, cookies and third-party links
Cloudflare hosting, security and privacy-focused Web Analytics may process ordinary request and usage data needed to operate, protect and understand the website. Cloudflare Web Analytics is designed without client-side cookies or cross-site tracking. The current EKO website does not intentionally use advertising cookies. Google Analytics and advertising pixels are not enabled unless the required account configuration, policy update and consent controls are in place.
Links to Jobber, Google, Instagram, Facebook and other third-party websites are governed by those services’ own privacy practices. EKO is not responsible for the operation of an external website.
8. Storage, security and retention
Information may be held in EKO’s email, devices, business records and third-party cloud systems. We use reasonable administrative and technical measures appropriate to a small service business, including access controls and reputable service providers. No internet transmission or storage system can be guaranteed completely secure.
We keep information only for as long as reasonably required for enquiries, service delivery, business records, tax, insurance, dispute resolution and legal obligations. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it.
9. Access, correction and complaints
You may ask what personal information we hold about you, request access or correction, withdraw a marketing preference, or raise a privacy concern by contacting us. We may need to verify your identity and may decline a request where the law permits, but we will explain the reason where appropriate.
We will acknowledge a privacy complaint and aim to investigate and respond within a reasonable time. Information about Australian privacy rights is also available from the Office of the Australian Information Commissioner.
